Home/AI for CPA & Accounting Firms

CPA · Tax · Accounting

AI for CPA firms that gives busy season back.

Source documents read and extracted into your tax software, clients chased for what's missing, strategy questions researched, and follow-up handled. Designed, built, and operated for you, with a preparer still signing every return.

30-day pilot. Measured results. No long lock-in.

Where the hours go

The work that turns February into a blur

None of it requires a CPA license. All of it lands on people who have one.

01
Keying source documents

W-2s, 1099s, 1098s, K-1s, and brokerage statements typed field by field into the return, then checked again because a digit was off.

02
Chasing missing documents

The organizer went out in January. It's March, the 1099-B still hasn't arrived, and someone has to send the third reminder.

03
Answering the same questions

"Did you get my documents?" "When will it be done?" "Can I deduct this?" Every one answered by hand, usually by the person who should be reviewing returns.

04
Research that eats the evening

A client with a new entity, a state issue, or a strategy question, and forty minutes of digging before anyone can give an answer.

What we build

An AI layer over the software you already run

Your tax software, portal, and practice management system stay where they are. The AI does the repetitive steps between them, and partners approve everything before it goes live.

Intelligent Document Processing

Source documents read, classified, and extracted into structured data with validation on every field, then delivered into the return or your workpapers. Covers the forms your software's built-in tools don't.

→ Preparers start from clean data, not a blank screen.

Client Communication & Document Chasing

Organizer reminders, missing-document follow-ups, status updates, and answers to routine questions, sent in the firm's voice on a cadence you set.

→ Every client chased, nobody on staff doing the chasing.

AI Tax-Strategy Research Assistant

A research assistant for the firm's CPAs that pulls together the relevant code sections, guidance, and planning angles for a client situation, so the professional starts from a brief instead of a search bar.

→ Forty minutes of digging becomes five minutes of review.

Onboarding & Engagement Letters

New client intake, engagement letters, portal setup, and the first document request handled the moment a prospect says yes.

→ New clients live in a day, not a week.

Lead Follow-Up & New Client Acquisition

Inquiries answered in seconds, referrals followed up, and off-season outreach to the clients you actually want, all in the firm's voice.

→ A pipeline that runs while you're in returns.

Practice Dashboard

One live view of documents received, returns in progress, response times, and what the AI has handled, so partners can see the season instead of guessing at it.

→ Numbers you can run the firm on.

Who this fits

Built for firms where the partners still prepare returns

Small and mid-size CPA firms

One to a few dozen people, a real client base, and a busy season that runs on the partners' evenings and weekends.

Tax-focused practices

Individual and small-business returns at volume, where document intake and client chasing are the bottleneck every year.

Bookkeeping and advisory firms

Monthly close, client questions, and onboarding that pile up as the client count grows faster than the team.

Firms adding advisory services

Practices that want to sell tax strategy and planning but can't spare the research hours to deliver it profitably.

How it works

Start small. Prove it. Scale.

No six-month build, no long lock-in. We earn the next step by proving the last one.

1

Assess

We map how documents, questions, and returns actually move through the firm and pick the one workflow that will pay off fastest.

2

30-Day Pilot

We build and run it for you, with a small footprint on partner time, and measure it against numbers the firm already tracks.

3

Scale

Working? We add the next workflow: research, onboarding, then new client acquisition. Not what you hoped? You walk, with no further obligation.

Everything is done-for-you: partners approve what goes live, we handle the rest.

Trust & compliance

Built to be trusted with client data

Your data stays yours

Client data lives in the firm's own accounts, is processed only as instructed, and is never used to train general-purpose AI models.

A BAA where it's needed

Where a workflow touches protected health information, we sign a Business Associate Agreement before anything is built.

Our AI says it's AI

Every client-facing agent identifies itself as automated when asked, and proactively where the law requires it.

A preparer signs every return

The AI prepares data and drafts; licensed professionals review, decide, and sign. Nothing changes about who is responsible for the work.

Questions firms ask

Straight answers

Does this replace our tax software?

No. Drake, Lacerte, UltraTax, ProSeries, and your practice management and document portals stay in place. The AI does the work between them: reading and extracting source documents, drafting client communication, researching strategy questions, and chasing the paperwork that hasn't arrived yet.

How accurate is the document extraction?

At Advanced Tax Solutions, client-reported input error rates on processed documents are under 1%, and every extracted field is validated before it lands in the return. A preparer still reviews the return; the difference is they start from clean data instead of typing it.

What about client confidentiality and IRS rules?

Client data stays in the firm's own accounts, is processed only as instructed, and is never used to train general-purpose AI models. Where a workflow touches protected health information (for example, medical expense documentation), we sign a Business Associate Agreement first. We build to the firm's existing written information security plan rather than around it.

Will clients know they are talking to AI?

Yes. Every email, text, or voice agent we deploy identifies itself as automated when asked, and proactively where the law requires it. Outreach goes out in the firm's voice, under the firm's name, and partners approve every template before it runs.

Can we start before busy season?

That's the right time. A 30-day pilot on one workflow, typically document intake or client outreach, can be live and measured before the first organizers go out. If it doesn't deliver, you walk with no further obligation.

What size of firm is this for?

Firms from a single CPA with seasonal staff up to a few dozen people. Big enough that busy season hurts, small enough that nobody has a full-time technology role to run this themselves.
