2. What this policy covers

This Privacy Policy explains how we collect, use, share and protect personal information when you visit silkroadaisolutions.com, book a call with us, contact us by email, phone or text message, or receive marketing or service communications from us. It also explains, in Section 7, how we handle information that our clients entrust to us when we build and operate systems on their behalf.

By using our website or communicating with us, you agree to the practices described here. If you do not agree, please do not use the website or provide us with personal information.

3. Information we collect

Information you give us

  • Contact and booking details, such as your name, email address, phone number, company name, job title and anything you write in a message, when you book a call through our scheduling page (Calendly), email us, call us or fill out a form.
  • Text-message opt-in information, including your mobile number and the date, time and method of your consent, when you agree to receive text messages from us.
  • Business information you share while evaluating or using our services, such as details about your operations, tools, goals and results.

Information collected automatically

  • Device and usage data, such as IP address, browser type, operating system, referring page, pages viewed and the time and date of your visit.
  • Cookies and similar technologies, described in Section 8.

Information from other sources

  • Publicly available and licensed business data, such as company websites, professional networking profiles and business directories, which we may use to identify and contact businesses that may benefit from our services.
  • Service providers, such as our scheduling, email, CRM and analytics tools, which pass us information you provide to them on our behalf.

4. How we use information

  • To respond to your inquiries, schedule and hold calls, and provide proposals and services you request.
  • To send service communications, such as appointment confirmations, reminders, project updates, invoices and account notices.
  • To send marketing communications about our services where permitted by law and, for text messages, only with your prior express consent (Section 5). You can opt out at any time.
  • To operate, secure, maintain and improve our website and services, including analytics and troubleshooting.
  • To comply with legal obligations, enforce our agreements, and protect the rights, property and safety of our company, our clients and others.

We do not sell personal information, and we do not share personal information with third parties for their own marketing purposes.

5. Text messaging (SMS) program

Program name: Silk Road AI Solutions Alerts. Description: conversational and informational text messages from Silk Road AI Solutions, including appointment confirmations and reminders, replies to your inquiries, project and account updates, and, only where you have separately agreed, occasional marketing messages about our services.
  • Consent. We send text messages only to people who have given prior express consent, for example by entering a mobile number and checking an unchecked consent box on our website form, replying to a message we sent in response to your inquiry, or agreeing verbally or in writing during a call or in a service agreement. Consent to receive text messages is not a condition of purchasing any goods or services.
  • Message frequency varies based on your interaction with us. Marketing messages, if you opt in to them, are sent no more than four times per month.
  • Message and data rates may apply. Check with your mobile carrier for details about your plan.
  • Opt out at any time by replying STOP to any message. You will receive one final message confirming that you have been unsubscribed, after which no further messages will be sent unless you opt in again.
  • Help. Reply HELP to any message, email dallas@silkroadaisolutions.com or call 435.233.6044 for assistance.
  • Carriers are not liable for delayed or undelivered messages.
  • No sharing of mobile opt-in data. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors in support services, such as customer service or message delivery, is permitted. All other use-case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

6. How we share information

We share personal information only in the following circumstances:

  • Service providers that help us operate our business under contracts that restrict their use of your information, such as website hosting, scheduling (Calendly), email and text-message delivery, customer relationship management, payment processing, video conferencing, analytics, and cloud and AI model providers that process data for us.
  • Affiliated brands. Silk Road AI Solutions and Silk Road SCM are trade names of the same company and may share information internally to serve you.
  • Legal and safety reasons, when required by law, subpoena or court order, or when we believe disclosure is necessary to protect our rights, your safety or the safety of others, or to investigate fraud or security issues.
  • Business transfers, if we sell or transfer all or part of our business, in which case your information may be transferred to the successor subject to this policy.
  • With your direction or consent, for example when you ask us to introduce you to a partner.

7. Client data, AI systems and health information

When a client engages us to design, build or operate systems on its behalf, we act as a service provider (sometimes called a processor or business associate) for the data we handle in that engagement. In that role:

  • We process client data only as instructed by the client and as described in our written agreement with the client, and we do not use it for our own marketing.
  • We do not use client data or the personal information of a client's customers to train general-purpose AI models. Where we use third-party AI model providers, we use business or enterprise terms under which the provider does not train on the data submitted.
  • Where an engagement involves protected health information under HIPAA, we enter into a Business Associate Agreement (BAA) with the client before any such information is processed, and we design deployments to limit the health information involved to what the workflow requires.
  • AI agents we deploy for clients, including voice, chat, email and text agents, are configured to identify themselves as automated or AI-powered when a person asks, and proactively where the law or the client's industry requires it.
  • Individuals whose information is processed in a client engagement should direct privacy requests to that client, whose own privacy policy governs; we will support the client in responding.

8. Cookies and analytics

Our website may use cookies, pixels and similar technologies to remember your preferences, understand how visitors use the site, and measure the effectiveness of our marketing. These may include analytics tools (such as Google Analytics) and advertising pixels (such as those provided by Meta, Google or LinkedIn) that collect device and usage data described in Section 3. Third-party scheduling pages embedded or linked from our site (such as Calendly) set their own cookies under their own policies.

You can control cookies through your browser settings, and most browsers let you delete or block them. Blocking some cookies may affect how the site works. We do not currently respond to browser "Do Not Track" signals, though we do honor opt-out preference signals where required by applicable state law.

9. How long we keep information

We keep personal information for as long as needed to fulfill the purposes described in this policy, to maintain business records, to comply with legal, tax and accounting obligations, and to resolve disputes. Business and transaction records are generally kept for up to seven years. Text-message consent records are kept for as long as you remain opted in and for a reasonable period afterward so that we can demonstrate consent. Information we no longer need is deleted or de-identified.

10. Your choices and privacy rights

  • Marketing emails: use the unsubscribe link in any marketing email, or email us.
  • Text messages: reply STOP at any time (Section 5).
  • Phone calls: ask us not to call you and we will add you to our internal do-not-call list.
  • Access, correction and deletion: you may ask us to confirm what personal information we hold about you, correct it, or delete it, subject to legal record-keeping requirements.

Depending on where you live, you may have additional rights under state privacy laws (such as the Utah Consumer Privacy Act and similar laws in other states), including the right to access, correct, delete or obtain a copy of your personal information and to opt out of targeted advertising or the sale of personal information. We do not sell personal information. To exercise any right, email dallas@silkroadaisolutions.com with "Privacy Request" in the subject line. We will verify your identity, respond within the time required by law (generally 45 days), and will not discriminate against you for exercising your rights. If we deny a request, you may appeal by replying to our response.

11. Security

We use reasonable administrative, technical and physical safeguards to protect personal information, including access controls, encrypted connections and reputable cloud providers. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If you believe your interaction with us is no longer secure, please contact us immediately.

12. Children

Our website and services are intended for businesses and adults. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, contact us and we will delete it.

Our site links to third-party sites and services, including our scheduling page, social media pages and our sister brand. Those services have their own privacy policies, and we are not responsible for their practices.

14. Changes to this policy

We may update this policy from time to time. When we do, we will change the effective date at the top of the page and, for material changes, provide additional notice such as an email or a notice on our website. Your continued use of the site after a change means you accept the updated policy.
