The Fully Booked Brief
Most owners I talk to think they're competing on price, or reputation, or the quality of the work. In the first few minutes of a new lead, none of that is even on the table. You're competing on one thing: who answers first.
I see it clearest in law firms, but it's true for anyone who sells time. Someone with a problem rarely reaches out to just one business. They fill out three forms, or call three numbers, and they go with whoever gets back to them first and makes them feel handled. The best pitch in the world loses to the one that actually showed up.
The numbers are hard to argue with. A firm that responds within five minutes is about ten times more likely to convert that lead than one that waits an hour. And roughly one in four firms never respond to a web inquiry at all. That's not a lead problem. That's a pickup problem.
Here's what I'd fix before spending another dollar on marketing:
Answer everything, immediately. The first response doesn't have to close the deal. It has to happen. A reply in the first five minutes beats a perfect reply an hour later, every time.
Cover the after-hours gap. A lot of inquiries land at night and on weekends, exactly when nobody's at the desk. If those go to voicemail, most of them are gone.
Qualify while they're warm. The moment someone raises a hand is the moment to ask the two or three questions that tell you whether it's a fit, and to book the next step before they cool off.
None of this needs a bigger team. It needs the first touch to happen every single time, not just when someone's free to catch it. That's the boring, repeatable work we hand to an AI teammate: it answers the second a lead lands, in your voice, qualifies it, and books the call, with you approving before anything goes out.
So the real question, before your next campaign: when a lead comes in at 9pm on a Saturday, who answers?
